CARMEN WWW, is the second version of Carmen operating in the Internet environment. It is a modular system supporting all versions of Carmen operating in the desktop environment.
CARMEN WWW is dedicated for companies that wish to make the operating data of vehicles or telephones available to employees or their managers; service application processes connected with vehicles, telephones and the office; book available vehicles; enter invoices through WWW before their entry in the financial system; run the cost acceptance process, etc.
When creating Carmen WWW, we paid attention to such elements of its functionality as user-friendliness. The user receives an intuitive application, which in a clear and easy way allows them to obtain information or enter data.
Depending on the base system, its options and needs, Carmen WWW contains appropriate modules (an example below). The user's rights are managed by the administrator of the desktop system.
Vehicle Base Module
The module is used for making operation data concerning vehicles available to employees or their managers. That data pertains to costs of vehicles (e.g. refuelling, fluids, car wash, motorways, etc.), analytical vehicle logs and payment cards. Managers have access to the statuses of vehicles in their subordinate (hierarchical or controlling) structures or to the hand-over of vehicles in the scope of vehicles available to them.
Available Vehicle Booking Module
The module is an extension of the functionality available in the desktop version. It is used for adding and modifying bookings of available vehicles, it implements the process of acceptance in various models (one- or two-level), issuing and returning vehicles. The complete circulation of information is based on e-mails informing about the status of the booking process and the need to provide acceptance. The entire booking process is monitored in the desktop version.
Claims Module
This module is an extension of the Carmen functionality connected with insurance policies and vehicle damage. It allows for the registration of damage. The module can be made available to external companies dealing with claims settlement.
Applications Module
This module is an extended version of the Applications module. It executes tasks connected with the circulation of documents concerning the use of vehicles, telephones — numbers and devices, and access cards to office spaces. It services the submission and acceptance of applications. Applications pertain to e.g. the assignment of new vehicles, approvals for trips abroad using company vehicles, changes of fuel and telephone limits, assignment of a new telephone number or device, assignment and change of access areas on access cards.
Car Cost Authorisation Module
This module is an extended version of Authorisation module. It allows for the registration of authorisation and all related events (certificates, planning new events — technical checks). As a final effect, it allows for a comparison of received invoices with previously registered obligations of service providers. The module is designed for sharing with external companies, e.g. service stations.
Invoice Entry Module
Thanks to this module, cost invoices can be entered by both the company employees as well as employees of external companies involved in the servicing of the vehicle fleet. Once entered, the invoices are compared with hard-copy invoices delivered by providers and accepted in a desktop version by a relevant employee. Invoices thus prepared (accounts, cost centre, accounted for in line with VAT deduction rules and division into deductible and non-deductible expenses) are entered in the financial system of the company. The module can be used by cooperating external companies, e.g. service stations, tyre change stations.
Telephones Module
This module allows for making data concerning the operation of mobile telephones (numbers and devices) available to interested parties (employees, their managers or persons managing elements of the company's organisational structure). The data can be made available passively (view only) or actively (e.g. acceptance of subordinates' costs). It is very often used for sharing settlements of mobile phone limits.
TAXI Module
This module allows for making data concerning the operation of TAXI cards available to interested parties (employees, their managers or persons managing elements of the company's organisational structure). The data can be made available passively (view only) or actively (e.g. acceptance of subordinates' costs).
Reception Desk Module
This module allows for providing services to guests arriving at the company and notifying persons they have arrived.
Secretariat Module
TThis module is used by administration employees to gain quick access to the status of vehicles, e.g. in order to determine who has blocked a car park exit or who has taken someone else's spot.
