Carmen OFFICE can be an independent application; however, it is treated by its creators as a set of modules that expand the capabilities of the Carmen or Phoneman system with functionalities connected with the management of buildings, offices and their equipment. It allows for both the operational management of buildings, offices and office equipment as well as the registering of invoices connected with the operation of offices and their entering in the financial system.
Registration of Sites, Buildings and Rooms Module
This is a basic module that allows for the creation of a structure of sites, buildings and rooms in a manner as detailed as is required by system users. The overriding task of the module is to link all the detailed data concerning: sites, buildings, rooms, plans, photographs, locations, assignments of users and defining certificates (reminders) concerning the observance of schedule in performing specific actions connected with site management in one place.
Company Structures and Users Module
This is a detailed user file, which is a tool allowing for the registration and preview of information and user control. The basic task of the module is to register data concerning company structures and employees, including employees' affiliation to organisational structures, history of used office equipment, assignment of rooms.
Office Equipment Module
The Office Equipment Module allows for the registration of office equipment (e.g. multimedia projectors, photocopiers, etc.), its characteristics and parameters and control of affiliation (e.g. to a user or organisational structure) while maintaining its full history. This module allows for printing reports of hand-over of equipment, clearance slips and user notifications, e.g. by e-mail, about the need to clear the assigned device. When it functions together with the Telephones Module, the operator can assign telephone numbers to devices.
Building Equipment Module
This module allows for the maintenance of a file of devices constituting building equipment, e.g. central heating systems, heat exchangers, together with the full history of their use, repairs, checks. An important element of the module is the registration of persons responsible for the proper functioning of devices.
The Stamp Module is a module allowing for the registration of stamps within the company and control of affiliation (e.g. to a user or organisational structure) while maintaining their full history. This module allows the operator to print reports of the hand-over of stamps, clearance slips and user notifications, e.g. by e-mail, about the need to clear the assigned stamps.
The module of reminders and certificates allows for the timely control of sites, buildings and equipment. Thanks to certificates, the module will remind users of upcoming deadlines, e.g. of a technical inspection, periodic check, etc.
This module is a tool allowing the operator to enter costs connected with the use of buildings, office or building equipment and the creation of invoice entries to the financial system.
This module allows its user to precisely grant rights to system Operators (viewing, adding, deleting, editing) to selected thematic elements (e.g. adding buildings and rooms, building equipment, etc.) and to resources (e.g. employees). The system administrator can view the history of rights granted to operators and operations performed by Operators.
This module allows for the submission of applications connected with the use of telephones and the implementation of the process of acceptance of an application. Examples of applications include: application for a change of the monthly limit, assignment of a new number, a new telephone, repair of the telephone, etc.
Document Office Module
This is used for the registration and control of the receipt and dispatch of post, notifying addressees (company employees or persons responsible in the company's structures) about incoming mail. All is available in a desktop and WWW version.
Access Cards Module
This module is used for the registration and management of cards allowing company employees or employees of external companies to access rooms. The module includes defining access areas, submission of applications for the assignment or replacement of a given kind of access card (permanent, temporary, duplicate, etc.) to access areas, the process of issuing and returning cards, the process of registration of events of entry/exit by employees to/from the areas.
